Terms & Conditions

Effective June 14, 2026

ON THIS PAGE

Please read these terms carefully. By scheduling an appointment, using our website, or communicating with our practice, you agree to the terms described on this page. If you have questions, please contact us before your first appointment.

These Terms are not a substitute for the informed consent documentation you will receive at intake. Please review all intake materials carefully and ask your provider any clinical questions you have before treatment begins.

Agreement to Terms

These Terms and Conditions ("Terms") govern your access to and use of the services, website, and communications provided by Nesting Minds Psychiatry ("Nesting Minds," "we," "us," or "our"), located at nestingminds.co.

By accessing our website, scheduling an appointment, or engaging with our practice in any capacity, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not use our services.

These Terms apply to all visitors, prospective patients, current patients, and guardians of minor patients.

Services Offered

Nesting Minds Psychiatry provides psychiatric evaluation, diagnosis, medication management, and related mental health services to eligible individuals. Our services are delivered by licensed psychiatric professionals and may include:

  • Initial psychiatric evaluations

  • Medication management and monitoring

  • Follow-up appointments (in-person or via telehealth)

  • Collaboration and coordination with other treating providers

  • Referrals when clinically appropriate

We do not provide crisis or emergency mental health services. In a mental health emergency, please call 988 (Suicide & Crisis Lifeline), 911, or go to your nearest emergency room.

Our services are available only to individuals who reside in states where our providers are licensed to practice. Eligibility may be confirmed prior to scheduling.

Scheduling via ZocDoc

Appointment scheduling at Nesting Minds Psychiatry is facilitated through ZocDoc, a third-party scheduling platform. By using ZocDoc to book an appointment, you also agree to ZocDoc's own Terms of Service and Privacy Policy, available at zocdoc.com.

When you schedule through ZocDoc, you may be asked to provide demographic information, insurance details, and health history. This information is used to prepare for your appointment and verify your eligibility for care.

Please note the following regarding scheduling:

  • Booking an appointment does not guarantee acceptance as a patient. A clinical team member may review your information prior to confirmation.

  • You are responsible for ensuring that the information you provide at scheduling is accurate and current.

  • Appointment reminders may be sent via ZocDoc's platform, as well as through our communication system described in Section 4.

  • We reserve the right to cancel or decline to schedule appointments where a clinical or logistical match cannot be established.

New to ZocDoc? You will create a ZocDoc account as part of the booking process. Nesting Minds Psychiatry does not control the ZocDoc platform and is not responsible for any technical issues, data handling practices, or account disputes that occur within ZocDoc's systems.

Communications via Spruce Health

Nesting Minds Psychiatry uses Spruce Health as our HIPAA-compliant communication platform for secure messaging, appointment coordination, and clinical follow-up. By providing your contact information and engaging with our practice, you consent to receive communications through Spruce Health.

Communications through Spruce may include:

  • Appointment confirmations, reminders, and follow-up notes

  • Clinical instructions and care coordination messages

  • Requests for updated documentation or insurance information

  • Prescription coordination messages (non-urgent)

  • Billing and administrative notices

Spruce Health is a HIPAA Business Associate of Nesting Minds Psychiatry. Messages sent and received through the Spruce platform are encrypted and stored in accordance with HIPAA standards.

Important limitations of secure messaging: Spruce messaging is not monitored around the clock. Do not use Spruce to communicate urgent clinical concerns or emergencies. For urgent needs, please call our office directly or use the emergency resources listed in Section 7.

Standard text messaging (SMS) to personal phone numbers is not a secure or HIPAA-compliant method of communication. Please use the Spruce portal or app for all clinical communications.

Privacy & HIPAA

Nesting Minds Psychiatry is a covered entity under the Health Insurance Portability and Accountability Act (HIPAA). We are committed to protecting the privacy and security of your protected health information (PHI) in accordance with applicable law.

Our full Notice of Privacy Practices describes how we may use and disclose your health information, and is provided to you at intake. You may also request a copy from our office at any time.

In general, we will not share your health information without your written authorization except as permitted or required by law, including:

  • Treatment, payment, and healthcare operations

  • Mandatory reporting obligations (abuse, neglect, imminent safety risks)

  • Court orders or legal obligations

  • Public health activities as required by law

Our website may use analytics tools that collect non-identifying usage data. These tools do not collect or transmit protected health information. Please see our Privacy Policy for more detail on website data collection.

Telehealth Services

Where available and clinically appropriate, Nesting Minds Psychiatry offers telehealth appointments conducted via secure, HIPAA-compliant video or phone platforms. By choosing a telehealth appointment, you acknowledge and agree to the following:

  • You will be in a private, distraction-free environment during your session.

  • You will provide your current physical location at the start of each telehealth visit so that emergency services can be reached if needed.

  • Telehealth has inherent technical limitations; your provider may recommend in-person care when clinically necessary.

  • Telehealth services are only available to individuals physically located in states where our providers hold an active license at the time of the appointment.

  • You are responsible for having a functioning device, stable internet connection, and a private space for telehealth sessions.

Recording telehealth sessions — by either party — is strictly prohibited without prior written consent from all participants.

Emergencies & Crisis Situations

Nesting Minds Psychiatry does not provide crisis intervention or 24/7 emergency coverage. Our secure messaging and scheduling platforms are not monitored continuously and are not appropriate for emergencies.

In a crisis, please contact:

  • 988 Suicide & Crisis Lifeline — call or text 988

  • Crisis Text Line — text HOME to 741741

  • 911 or your local emergency room

  • NAMI Helpline — 1-800-950-6264

If you disclose an imminent risk of harm to yourself or others during a session or in a message, we are ethically and legally obligated to take appropriate action, which may include contacting emergency services or authorized individuals.

Cancellation & No-Show Policy

We ask that you provide at least 24 hours' notice if you need to cancel or reschedule an appointment. This allows us to offer your appointment time to another patient who needs care.

Cancellations made with less than 24 hours' notice, or missed appointments without contact, may result in a late cancellation or no-show fee. This fee is typically not covered by insurance and is the responsibility of the patient.

Cancellations and rescheduling requests may be made through ZocDoc or by contacting our office directly via Spruce Health messaging during business hours.

We understand that unexpected situations arise. Fees may be waived at our discretion in cases of documented emergencies or extenuating circumstances. Repeated late cancellations or no-shows may affect your ability to schedule future appointments.

Payment & Insurance

Payment policies, accepted insurance plans, and self-pay rates are outlined in the financial agreement provided at intake. By scheduling with Nesting Minds Psychiatry, you agree to the financial terms of that agreement.

General terms include:

  • You are responsible for verifying your insurance benefits and understanding your coverage, including deductibles, copays, and out-of-pocket maximums.

  • We will submit claims to your insurance on your behalf where we are in-network, but we do not guarantee coverage or reimbursement.

  • Any balance not covered by insurance is your responsibility and is due as outlined in your financial agreement.

  • Self-pay rates are available and can be discussed with our administrative team.

  • Nesting Minds Psychiatry reserves the right to require payment on the date of service.

Billing questions and insurance inquiries can be directed to our office via Spruce Health or by phone during regular business hours.

Minors

If a patient is under the age of 18, a parent or legal guardian must provide consent for psychiatric evaluation and treatment. The consenting guardian is responsible for understanding and agreeing to these Terms on behalf of the minor.

Depending on the minor's age, state law, and clinical circumstances, the minor patient may have some rights to privacy regarding their own health information. These rights will be explained during the intake process.

Guardians must be available to accompany or consent for minor patients as required by our clinical policies.

Acceptable Use

You agree to use our website, scheduling tools, and communication platforms respectfully and lawfully. You may not:

  • Use our platforms to harass, threaten, or harm any person

  • Provide false information when scheduling or communicating with our practice

  • Attempt to access another patient's records, account, or communications

  • Use our website or platforms in ways that violate applicable law

  • Record sessions, calls, or messages without explicit written consent

  • Misrepresent your identity, insurance coverage, or clinical history

Nesting Minds Psychiatry reserves the right to discontinue services to any individual who engages in threatening, abusive, or otherwise inappropriate behavior toward our staff, providers, or systems.

To the fullest extent permitted by applicable law, Nesting Minds Psychiatry and its providers, staff, and affiliates shall not be liable for any indirect, incidental, or consequential damages arising from your use of our website, services, or third-party platforms, including ZocDoc and Spruce Health.

Nothing in these Terms limits our liability for claims arising from professional negligence, as governed by applicable medical malpractice law and professional licensing standards.

Changes to These Terms

Nesting Minds Psychiatry may update these Terms from time to time. When we do, we will revise the effective date at the top of this page. For significant changes, we may provide additional notice through our Spruce Health communication platform or during scheduling.

Your continued use of our services after any changes are posted constitutes your acceptance of the updated Terms. We encourage you to review this page periodically.

Good Faith Estimate

Under the No Surprises Act (effective January 1, 2022), you have the right to receive a Good Faith Estimate (GFE) of expected costs before receiving healthcare services. This right applies to you if you are uninsured or if you choose not to use your insurance for services at Nesting Minds Psychiatry.

A Good Faith Estimate is a written document that outlines the anticipated cost of your care. It is not a final bill or a guarantee of cost — actual charges may vary based on the services you ultimately receive. However, if your bill exceeds the Good Faith Estimate by more than $400, you have the right to dispute the charge.

Your Good Faith Estimate will include:

  • The expected cost of your psychiatric evaluation, medication management, or follow-up services

  • Any anticipated ancillary services, such as diagnostic screenings or coordination fees, if applicable

  • The name and credentials of the provider(s) who will deliver your care

  • The expected dates or timeframe for services, when known

When you will receive a Good Faith Estimate:

  • At least 3 business days before a scheduled appointment, if you request one

  • At least 1 business day before an appointment scheduled within 3 business days

  • Upon request, at any time before receiving services

Good Faith Estimates are provided for uninsured and self-pay patients. If you are using insurance, your cost-sharing obligations — including copays, coinsurance, and deductibles — are governed by your plan. You may still request a cost estimate from our administrative team before your appointment.

If your bill is higher than your Good Faith Estimate:

You have the right to dispute the bill. To begin a dispute, contact the federal No Surprises Help Desk at 1-800-985-3059 or visit cms.gov/nosurprises within 120 days of receiving your bill.

To request a Good Faith Estimate before your appointment, please contact our office through Spruce Health or by phone during business hours. We are happy to provide one before you commit to scheduling.
